Detailed Description

The Backup procedure is used to take a security copy of all the data that you have entered into Cashbook.

This will guard against loss of data if something happens to your computer e.g. hardware malfunction

Backups can be either "internal" (i.e. to the hard disk on the computer) or "external" (i.e to a USB stick or other external drive or the Practical Systems Data Warehouse). Internal backups can be taken on a regular basis as a precaution against loss of data through power failures, etc., but regular external backups are essential to provide adequate security of data.

Backups should be carried out at least weekly or whenever significant data entry or changes have been made.

 

To Backup your data to a USB disk:

  • Click on the File > Backup Data > either Individual Company or All Companies/Year menu option ( or just click on the Backup toolbar icon.)

 

  • Insert your USB drive.
  • Select the required Backup drive and folder using the Browse button next to the Backup To File dropdown.
  • Enter a name for the backup file - this will normally default to "CBCompany" but this can be changed to a name of your choice - e.g. Backup-Nov 2015.
  • There is also an option at the bottom of the screen you can tick that will automatically add a Date/time stamp default filenames. to the backup name.
  • Note that the file extension ".zip" will be automatically added to the file name by the systems to indicate that the backup file is in Winzip format.
  • Click on the OK button to commence backup.
  • Click Yes to Confirm message 'Proceed with backing up the selected data to E:\CBCompany.zip?'.
  • Click OK to Inormation message 'Backup Complete'.
